Job Description Summary of Position: Assist the Community Manager in the general administration of the property and perform all related functions. Responsibilities will include the areas of management, marketing and leasing, resident retention, and accounting. Essential Duties and Responsibilities: Management Assist the Community Manager and be prepared to act as the staff person in-charge in the event of the absence of the Community Manager in enforcing and adhering to all NPV policies Motivation and supervision of employees Inspecting the property, vacant and occupied units, and rent ready units on a daily basis; assist in the administration of make ready units and update of availability Work with attorney and Community Manager regarding legal proceedings, including evictions and collections Maintain inventories for the property, including all hospitality and office supplies (eg, continental breakfast, brunch supplies, if applicable). Marketing and Leasing 1. Advertising and marketing, including outside marketing 2. Showing and leasing apartments, processing applications and calling on lease renewals 3. Preparation of Comparable Market Survey, intimate knowledge of the property, services and the general market area 4. Maintain courteous communication with residents, applicants, and representatives of other companies. Represent the property and the company with local municipal and trade associations, including apartment associations and Chamber of Commerce 5. Work closely with manager in the planning of resident functions, creating monthly newsletter and move-in packets Accounting and Administration 1. Assisting with all financial matters by ensuring that financial transactions are within policies and procedures, including bank deposits, collections of delinquent rents and preparation of notices to residents 2. Working within budgetary limits, under the direct supervision of the property manager 3. All secretarial and administrative functions, including posting all receipts and preparing all back-up records. Responsible for tracking and reporting all daily activity of property, including move-ins, move-outs, rent billings, late notices, cancellations, work orders and final billings 4. Prepare and maintain all office management files. Assist in preparing all required reports for supervisors, as well as all required reports for the maximization of on-site management 5. Assist manager in processing of property POs or input into computer and submission to corporate office for payment 6. Other duties as required and determined by Community Manager Qualifications: High school education, CAM or similar designation Computer proficiency in Microsoft Windows and Microsoft Office (Word & Excel); basic typing skills Experience and knowledge of bookkeeping functions Sales ability Professional appearance Pleasant telephone voice and excellent telephone techniques Ability to competently handle resident issues Able to perform leadership functions in the absence of the Community Manager Qualifications Education Preferred High School or better.
